Event Policy

This policy covers free and paid community events, activities, sessions, meetups, attendance tools, QR check-ins, and organizer obligations. It should be read with the Terms of Service, Community Guidelines, Refund Policy, Safety Policy, Trust Passport Policy, Privacy Policy, and Data Retention Policy.
1. Event Scope
ZenWave events are for lawful community activity, trusted meetups, creator sessions, campus or professional groups, and similar product-approved uses. Paid event tools are limited launch-scope features and may be disabled, delayed, or restricted until payment-provider, refund, fraud, reconciliation, safety, and legal reviews are complete.
ZenWave does not guarantee that every event is supervised by ZenWave, safe, available, suitable, or legally approved. Organizers remain responsible for the event they create and attendees remain responsible for reviewing event details before attending.
2. Organizer Duties
Organizers must provide clear, accurate, and complete information before users RSVP, pay, or attend, including:
- organizer identity, community affiliation, and contact route;
- event title, description, date, time, venue or online access, and any age or access limits;
- total price, currency, taxes or fees where applicable, and what the user receives;
- cancellation deadline, refund terms, transfer rules, attendance requirements, and no-show consequences;
- safety expectations, QR check-in rules, identity or Trust Passport requirements, and prohibited conduct;
- any material restrictions, risks, required equipment, accessibility limitations, or third-party venue rules.
Organizers must not misrepresent availability, venue approval, speaker participation, sponsorship, safety arrangements, refund availability, or the nature of the event.
3. Attendance, QR, and Safety
ZenWave may use QR check-ins, attendance confirmation, Trust Passport indicators, moderation records, safety sessions, guardian alerts, support evidence, and dispute records to support accountability.
These tools do not replace emergency services, police, medical help, venue security, or organizer duty of care. If there is immediate danger, users should contact emergency services, trusted contacts, or local authorities directly.
4. Paid Events and Launch Gates
Paid events may be held, cancelled, refunded, restricted, or disabled if:
- payment providers, banks, card networks, or settlement partners reject or delay processing;
- Trust Passport, KYC, KYB, fraud, sanctions, safety, or support checks fail;
- the event appears unlawful, unsafe, misleading, high-risk, or outside approved launch scope;
- required refund, dispute, reconciliation, receipt, tax, or consumer-protection controls are not ready;
- there is a chargeback, duplicate payment, provider reversal, law-enforcement request, or legal hold.
ZenWave does not provide deposit-taking, stored-value, investment, lending, insurance, or regulated financial services through events unless separately enabled through licensed providers and reviewed by counsel.
5. Cancellations, Refunds, and No-Shows
Organizer cancellation, material event changes, duplicate charges, platform failure, provider error, misrepresentation, non-delivery, safety concerns, or unlawful conduct may trigger refund or dispute review.
Attendee no-shows may be non-refundable only where that rule was clearly disclosed before payment and is not overridden by applicable consumer protection law, provider rules, fraud findings, safety findings, or platform error.
Refunds and disputes are handled under the Refund Policy. ZenWave does not permit blanket "no refund" wording for events.
6. Prohibited Events
Events must not involve unlawful goods or services, violence, exploitation, harassment, sexual exploitation, child-safety risk, unsafe substances, fraud, pyramid schemes, unlicensed regulated services, discriminatory exclusion, doxxing, blackmail, or attempts to move risky payments and disputes off-platform.
ZenWave may remove events, restrict organizers, preserve evidence, refund users, notify providers, or escalate to relevant authorities where required.
7. Evidence and Records
ZenWave may retain event details, RSVP records, payment references, QR logs, check-in evidence, organizer messages, support tickets, moderation records, safety reports, and dispute outcomes as described in the Privacy Policy and Data Retention Policy.
